Are you keeping your records for too long (or not long enough)?

ConvergaThe destruction and disposal of business records after minimum retention periods have expired – and provided there is no reasonable anticipation of legal action – is good business practice and written into law. For example, financial records only need to be kept for seven years.

Keeping records for longer than necessary is an inefficient use of sometimes expensive resources or space (physical or electronic), and increases the risk that such records could be exposed to discovery. Conversely, destroying records too soon and not keeping records for the required minimum periods can expose a business to the risks of making these records unavailable when required, which can also be an offence in Australian law.

Organisations often keep records for longer than necessary because they have been stored off-site and forgotten, or out of concern that they may be required at some time in the future. Australian law generally allows for the regular destruction of records in line with minimum retention periods defined in law or by regulations, or by the business itself, provided there is no reasonable anticipation of legal action.
